CONSTRUCTION ADMINISTRATIVE ASSISTANT

Carollo Engineers is a nationally recognized engineering firm specializing in the planning, design, and construction of water and wastewater facilities. We are seeking a Construction Administrative Assistant to join our team.  The Construction Administrative Assistant will support the Nashville Metro Omohundro Plant construction by performing on-site administrative duties (in a field office) to support the construction management of a $1.2B treatment plant in Nashville, TN.

Responsibilities
  • Perform clerical and administrative functions in a construction field office
  • Support the review of construction invoices and supporting financial documentation
  • Plan and schedule appointments and events
  • Greet and assist onsite guests
  • Answer inbound telephone calls
  • Provide technical editing and document formatting
  • Develop, update, and review/format PowerPoint presentations
  • Produce and assemble PDF (Adobe or Bluebeam) documents and packets
  • Perform document storage and filing in the project management software (e-Builder)
  • Develop and implement an organized hardcopy filing system
  • Prepare meeting materials and minutes
  • Assist with travel arrangements
  • Manage office supplies, maintaining office equipment, mailing packages
  • Assist with onboarding new employees
  • Assist with project tours
  • Working in a manner to ensure your personal safety and that of fellow employees by following project and company health and safety guidelines and policies and supporting contractor health and safety performance
  • Complete miscellaneous projects and duties as assigned

Qualifications
  • One or more years of office administration or other job-related experience
  • Proficient in MS Office Suite products including Excel, Word, PowerPoint, and Outlook
  • Excellent organization skills, capacity to handle multiple tasks and projects concurrently, and quickly adapt to new priorities
  • Strong oral and written communication skills
  • Strong work ethic, attention to detail, and commitment to exceptional client service
  • Demonstrated ability to build trust and positive business relationships
  • Effective problem-solving, facilitation, and negotiation skills
